Adding and managing Zoom contacts


By default, your Zoom contacts directory contains users on the same Zoom account and organization in the All Contacts section. You can also add any external Zoom user as a contact by specifying the email address associated with their Zoom account. After they approve your contact request, you will be able to chat, share images and files, and meet instantly. If you add an email address that isn't associated with a Zoom account, they will receive an invitation to join Zoom.

Account owners or admins of paid accounts can disable this to prevent users from seeing everyone on the same Zoom account and organization. Account owners and admins can also choose if users can chat with or add external contacts.

It is also possible to link another Zoom account as an organization, sync your contacts with a 3rd-party service, view your phone's contacts in the Zoom mobile app, or import personal contacts.

Note: Admins can view and remove your external contacts.

Prerequisites for adding and managing contacts

How to add a new contact

  1. Sign in to the Zoom desktop client.
  2. Click the Contacts tab .
  3. Click the add icon  and select Invite a Zoom contact.
  4. Enter the email address of the contact you want to add.
  5. Click Invite.
  6. Repeat with any additional contacts.

Notes:

  • Invited contacts with an existing Zoom account tied to the email address provided will receive a contact request in the desktop client.
  • Invited contacts without an existing Zoom account tied to the email address provided will receive an email from Zoom, inviting them to sign-up with Zoom. Once their Zoom account is created, they must click on the link in the initial email to confirm the contact request.

How to approve a contact request

Before you can meet instantly with a contact or chat with them, they need to approve your request first.

  1. Sign in to the Zoom desktop client.
  2. Click the Team Chat tab  .
  3. At the top of the left-side chat panel, click Contact Requests .
    This option may be found under the  More option.
  4. Click Accept to add this contact to your list.
    This contact will now appear on the Contacts tab, under External Contacts for both users.

How to manage and organize contacts

Besides meeting and chatting with contacts, you can also star important contacts, block, or delete them. If you want to get more detailed and precise with your sorting of contacts and channels, you can also sort them into folders.

Star a contact

Starring a contact will add them to the Starred section of the Chat panel, providing quick-access to the contact or chat channel.

To star a contact using search:

  1. Sign in to the Zoom desktop client.
  2. Use the search bar to search for the contact.
  3. Click the contact's name to display the chat thread with that contact.
  4. In the top-left corner of the chat window, click the star icon .
    The contact will appear in the Starred sections under the Phone, Team Chat, and Contacts tabs.

To star a contact using the contacts directory or the Team Chat side panel:

  1. Sign in to the Zoom desktop client.
  2. Click the Contacts tab or Team Chat tab.
  3. Click the contact you want to star.
  4. Click the ellipses icon  beside the contact's name.
  5. Click Star this Contact.
    The contact will appear in the Starred sections under the Phone, Team Chat, and Contacts tabs.

You can also star chat groups and channels. If you have a Zoom Phone license, you can star contacts using your call history.

Add a contact to your VIP Contacts list

If VIP Delegation is enabled for your contact and you are a delegator, you can add contacts to your VIP Contacts list to prioritize calls from those contacts. You can also assign a delegate to manage your VIP Contacts list. Follow this article for more information.

Block a contact

Blocking a contact will prevent them from chatting with you, and if not already a contact, will also prevent them from sending you a contact request.

To block a contact using search:

  1. Sign in to the Zoom desktop client.
  2. Use the search bar to search for the contact.
  3. Click the contact's name to display the chat thread with that contact.
  4. In the top-right corner, click More Actions .
  5. Click the More Options section and click Block Contact.
  6. Confirm blocking by clicking Block.
    The contact will now show a blocked label next to their name.

To block a contact using the contacts directory:

  1. Sign in to the Zoom desktop client.
  2. Click the Contacts tab .
  3. Find the contact you want to block.
  4. While hovering the cursor over their name in the list, click the ellipsis icon  beside the contact's name.
  5. Click Block Contact.
  6. Confirm blocking by clicking Block.
    The contact will now show a blocked label next to their name.

Note: Unblocking a contact is accomplished by following either method to block them, but choosing to Unblock Contact, which replaces the Block Contact option

  1. Sign in to the Zoom desktop client.
  2. Click the Contacts tab .
  3. Find the contact you want to block.
  4. While hovering the cursor over their name in the list, click the ellipsis icon  beside the contact's name.
  5. Click Delete Contact.
  6. Confirm deletion by clicking Delete.
